Reminder: PTO cash-in request form is live until Friday, Oct. 30

HR & Benefits

NOTE: This message was emailed to Ballad Health team members from HR on Monday, Oct. 26.

Dear Colleague,

The PTO cash-in election window is open through Oct. 30. Eligible Ballad Health team members may elect to cash in up to 20 hours of accrued paid time off (PTO), with payment issued on a separate check in late November. Team members also have the option to roll over all or a portion of their elected amount into their health savings account (HSA) or Lincoln retirement account. The election window will remain open through Oct. 30 at 5 p.m. No exceptions will be made after the deadline.

Please review the details below and consider which option may best fit your situation.

Here are the details about this year’s PTO cash-in opportunity:

  • Team members may cash in up to 20 hours from their regular PTO bank.
    • You may choose to cash in fewer than 20 hours.
    • All hours cashed in will be treated as taxable income and taxed accordingly.
  • Team members must maintain at least 20 hours of PTO after the cash-in hours are deducted. If there are not enough hours in the PTO bank to cover the cash-in request while maintaining a 20-hour balance, the remaining hours will be deducted from the frozen personal bank.
  • PTO balances can be viewed in the HR & Payroll Service Center by selecting the PTO Balance icon on the home page.
  • Team members may elect to have their PTO cash-in amount rolled over to their HSA or Lincoln retirement account.
  • The PTO cash-in request form will remain open until Oct. 30 at 5 p.m. No exceptions will be made after the deadline.
  • Approved PTO cash-in requests will be processed and paid on a separate check dated Nov. 20.
  • HSA and retirement plan contributions from PTO cash-in elections will be processed on a separate payroll run with a pay date of Nov. 27.

Reminder about PTO balances

After the first pay period in January 2027 closes, any remaining PTO hours above 100 will be moved to a frozen bank. Team members do not lose the value of these hours. Frozen-bank hours remain available if the regular PTO bank is exhausted or upon retirement or separation from employment. These hours will transfer on or around Jan. 13, 2027.

Thank you for all you do to care for our patients, support our mission and make Ballad Health a great place to work.
