Dear Colleague:

The commitment each of us has demonstrated to our patients and communities as we have all worked to serve during the worst labor shortage in history on the heels of a massive pandemic is impossible to describe. Many have given up precious time to help fill in to keep the burden off our fellow team members.

While the challenges continue as the nation combats these labor shortages, we want to share with you that in recognition of the fact so many of our team members have contributed to working extra and perhaps giving up some of their time off, we want to ensure you do not lose your valuable earned paid time off. 

As a result, we are taking the following steps to help you manage your PTO (paid time off) balances:

  • A one-time cash-in of up to 20 hours of vested PTO (must maintain at least 20 hours in your PTO bank). The online form to submit your cash-in request, found on the Human Resources Department intranet site, will open on Monday, Oct. 9, and will close on Friday, Nov. 3. There will be no exceptions to this time frame. You can elect to receive the cash value which will be calculated on your current base rate of pay or you can roll the cash value to your existing retirement or health savings account (HSA), thus deferring the tax liability. The PTO cash-in will be paid on the Friday, Nov. 24, pay date as a separate payment.
  • After the first pay period in January 2024 closes, we will move any remaining PTO hours above 100 to a frozen bank. You do not lose the vested value of these hours which are available to you if you exhaust your PTO bank or upon retirement or termination. You will see these hours shift from one bank to another on or around Thursday, Jan. 18, 2024. You can monitor your balances at any time from the HR Payroll & Service Center. We continue to believe there will be a time when we can all use PTO more liberally, but for the time being, we do hope this at least preserves those hours you have earned while not being penalized for contributing extra time to help your colleagues and our patients.

I also want to share with you that team members will receive a 3% annual wage adjustment in January 2024. Our policy with respect to team members who have a final written warning or are in a flat-rate compensation position will apply. Eligible team members hired within the last fiscal year (July 1, 2022 – June 30, 2023) may receive a pro-rated amount depending on their hire date (see the posted pro-rate schedule on the HR department intranet site). The rate increase will be applied for the Friday, Jan. 19, 2024, pay date.

Other upcoming reminders from Human Resources:

  • The Performance Evaluation cycle is open Monday, Sept. 18-Thursday, Nov. 30. Your annual performance evaluation should be completed and reviewed with you by your manager prior to Nov. 30.
  • Flu vaccines are going to be administered by Team Member Health from Monday, Oct. 2-Friday, Oct. 27. You have received an “assignment” in the HR & Payroll Service Center as a reminder. If you have an existing or get approved for a new exemption, this assignment will be marked as waived. If you obtain your vaccine at an area pharmacy or at the office of your medical provider, please submit the documentation as soon as possible to Team Member Health so you do not land on the non-compliant list.
